Renewal season, without the chasing
Members get a reminder, pay by card, and their record updates the moment the money lands. The secretary gets one list that is right. That is most of the value, and it is the part we built first.
What January looks like in most clubs
Cheques arrive over six weeks. Cash comes in at meetings and goes into an envelope. A few members pay by bank transfer with no reference, so the treasurer sees fifty euro land and works backwards to guess who it was.
Then the chasing starts, from a list that was out of date before it was printed. People who have paid get phoned, which is embarrassing. People who have not get missed, which is worse. And every year at least one member fishes the whole season having genuinely forgotten to renew, which is an awkward conversation for a water keeper and an insurance problem for the club.
The honest summary is that the club cannot say, at any given moment, who its members are.
How renewals work in Tadpole
- 1
The reminder goes out on its own
Before the membership year ends, every member due to renew gets an email with their own link. No login, no password, nothing to remember. A daughter can forward it to her father and pay on his behalf.
- 2
They pay by card in under a minute
The link opens their details, shows the fee for their membership type, and takes the card. Family memberships and junior members are handled on the same screen.
- 3
The record updates the moment it clears
Their membership card in Apple or Google Wallet renews itself. The list of paid-up members is correct without anyone touching it.
- 4
Cash and cheques still count
Some members will always hand money to whoever is nearest at the AGM. The secretary records it in a few taps and the member is marked paid the same as everyone else.
Subs go straight into your own Stripe account
Members pay the club directly. The money never passes through us. On the membership plans there is a yearly fee and a per-member amount, and no percentage of anything: not subs, not permits, not donations. Stripe take their card fee, as they would anywhere.
Built for our own club first
Trim, Athboy & District Angling Association has been going for over eighty years and has around 260 members. Renewals used to take six weeks of one secretary’s evenings. Now the reminder goes out, most members pay the same week, and the chasing is a short list rather than the whole book. Ten Irish clubs run on it today.
- One record per member, with family links and junior members handled properly
- Renewal rate, member count and income answered in a click, not a week
- Lapsed members drop off the water keeper’s list on their own
What committees ask us
- Do you take a cut of our subs?
- No. Tadpole connects to your club’s own Stripe account, so members pay the club directly. On the membership plans we charge a yearly fee and a per-member amount, and that is it.
- Our members are older. Will they manage it?
- The renewal link needs no account and no password. It opens, shows the fee, and takes a card. Anyone who would rather hand over cash still can, and the secretary records it in a few taps.
- What about members who forward the link to someone else?
- That is allowed on purpose. A member’s daughter renewing for her father from her own phone is exactly what we see, and the payment lands against the right member.
No setup fee. We will show you your own club’s numbers, not a demo account.
